n8n
Best for: Technical teams, complex workflows, self-hosting
- Self-hostable (huge for privacy-sensitive work)
- Code nodes let you drop into JavaScript/Python
- Cheaper at scale (no per-execution pricing)
- Steeper learning curve
Zapier
Best for: Non-technical teams, simple workflows, speed
- Easiest to learn (by far)
- 6,000+ app integrations
- Great for simple "if this then that" automations
- Gets expensive fast at scale
When to build custom
Sometimes neither tool is right. Build custom when:
- You need sub-second latency
- The logic is too complex for a visual builder
- You're processing millions of records
- You need tight integration with your own codebase
The best automation tool is the one your team will actually use.
